Payments
A deposit of 10% of the total trip cost is required to confirm your booking with Annapurna Encounter. The remaining balance should be settled after arriving in Kathmandu.
All cancellations must be submitted in writing via email. The cancellation date is considered the date on which the written notice is received by our office.
• 30 or more days before departure: Loss of deposit only (20% of total trip cost)
• 15–29 days before departure: 40% of total trip cost charged
• 7–14 days before departure: 75% of total trip cost charged
• Less than 7 days before departure: 100% of total trip cost charged (no refund)
• After the trip has commenced: No refund for any unused services (accommodation, meals, permits, transport, guides, etc.)
Important Notes:
— The 20% deposit is strictly non-refundable under all circumstances.
— The deposit is, however, transferable to a future departure within 12 months of the original booking date.
— Any non-recoverable costs already paid to third parties (permits, domestic flights, hotels) on your behalf will remain non-refundable regardless of the cancellation date.
— In case of Force Majeure events (natural disasters, political unrest, government restrictions, flight cancellations, extreme weather, etc.) beyond our control, we will offer a full trip credit valid for 12 months. Refunds in such cases are not guaranteed.
Trip Insurance
We highly recommend that all clients purchase comprehensive travel insurance that covers trip cancellation, medical expenses, emergency evacuation, and lost or stolen personal belongings.
Changes to the itinerary
Annapurna Encounter reserves the right to make changes to the itinerary if deemed necessary due to unforeseen circumstances such as weather, natural disasters, or other unforeseen events.
Responsibilities
Annapurna Encounter shall not be held responsible for any loss, injury, or damage to person or property, or for any delays or changes in the itinerary caused by weather, strikes, sickness, quarantine, government restrictions or regulations, or any other causes beyond its control.
Passport and Visas
It is the responsibility of the clients to have a valid passport and any necessary visas for the duration of the trip.
Force Majeure
Annapurna Encounter shall not be held responsible for any delay, or non-performance of its obligations under this Agreement if such delay or non-performance is caused by an act of God, war, civil commotion, government regulations, or any other cause beyond its control.
Governing Law and Jurisdiction
These terms and conditions shall be governed by and construed in accordance with the laws of Nepal. Any disputes arising out of or in connection with this Agreement shall be subject to the exclusive jurisdiction of the courts of Nepal.
Miscellaneous
If any provision of these terms and conditions is found to be invalid or unenforceable, such provision shall be severed and the remainder of the terms and conditions shall continue to be valid and enforceable.
Trip Cost
The cost of the trip includes accommodations, meals, transportation, guide services, and park fees. It does not include airfare, travel insurance, personal expenses, or gratuities.
Physical Fitness
It is the responsibility of the clients to inform Annapurna Encounter of any pre-existing medical conditions and to ensure that they are physically fit for the trip. Clients should consult with their doctor before booking the trip.
Liability
Annapurna Encounter shall not be liable for any damages arising from any act or omission of any independent contractors or suppliers, or for any personal injuries, death, or property damage resulting from clients' own actions or inactions.
Photography
Annapurna Encounter reserves the right to use any photographs taken during the trip for promotional purposes. Clients who do not wish to have their photographs used should inform Annapurna Encounter in writing.
Group size
Annapurna Encounter reserves the right to cancel or combine groups if the number of participants is less than the minimum required.
Responsibility
Clients are responsible for their own personal belongings. Annapurna Encounter is not responsible for lost or stolen items.
Complaints
Any complaints should be reported to Annapurna Encounter as soon as possible so that we have the opportunity to rectify the situation.
Responsible Tourism
Annapurna Encounter is committed to responsible tourism and we expect our clients to respect the local culture, customs, and environment during the trip. We encourage our clients to minimize their environmental impact and to support the local economy by purchasing locally-made goods and using local services.
